Administrative Officer

Summary of Position

PisethCity Investment Co., Ltd: currently, we are looking for a candidate in the position Administrative Officer.

The Administrative Officer’s responsibilities include welcoming visitors and clients, overseeing the activities of office cleaning/delivery staff, driver staff, security staff and maintenance vendors, as well as typing, printing and proofreading various company documents. You should also be able to organize flights, visa, passport, transportation, and accommodation for company executives.

Successful candidate should display good phone etiquette and a through understanding of office management procedures. Ultimately, a top-performing Administrative officer should be able to demonstrate exceptional organizational and time management skill to complete all duties in a timely manner.

Main Duties and Responsibilities

  • Attending to calls, responding to queries, and replying emails
  • Preparing expense reports and office budgets
  • Managing office supplies and ordering new supplies as needed
  • Systematically filling important company documents
  • Forwarding all correspondence, such as letters and packages, to staff members
  • Hiring maintenance vendors to repair or replace damaged office equipment
  • Assisting the HR department with job postings and interviews
  • Monitor on staff attendant system
  • Monitor on leave recording system for staff
  • Perform other tasks as assigned by the manager
  • Monitor on office supply by comparing expense for each month
  • Supervise and gives direction to cleaner, driver and security team
  • Prepare correspondence of invitation/ request letters to other related departments
  • Monitor staff benefits such as insurance, health care and others
  • Provide orientation to new employees by provide training on necessary company policies and procedure

Bachelor's Degree

Experienced (Non-manager)

Languages Required

English, Chinese is plus

Other Requirements

  • Bachelor’s degree in business administration, management or any other relevant field
  • 1-2 years’ experience in HR, administration, and/ or office management
  • Strong commitment and accountability
  • Computer literate in necessary basic office software
  • Able to communicate in English is preferred
  • Able to demonstrate and present the problems with solutions
  • Able to prioritize and manage several open cases at one time
  • The ability to multitask
  • Excellent organizational skills
  • Effective communication skills
  • Exceptional customer service skills
