Human Resources Officer / Payroll Focus

Summary of Position

This position is accountable for assisting in delivering human resources support for smooth functioning of HR processes throughout the employees’ life cycle at the organization.

Within this, the HR Generalist Payroll & Admin focus is responsible for the day-to-day management of HR operations and brings a special and strong focus on the Payroll and Administrative activities using her/his experience in these areas.

Main Duties and Responsibilities

Payroll primary responsibility

  • Attendance and Leave management, daily take note of physical attendance and record for all employees in HR calendar, follow up with the staff who are absent without intimation
  • Report staff leaves, over-time, resignations, new employees, missing scans and working day to HR Manager for payroll preparation
  • Verify all document for payroll preparation
  • Preparing and maintaining reports like, Employee Database, Missing Log Journal, Warning Journal, Exit Log Journal and Verify all Exit Checklist, Travel Journal, Unrequested Leave, Leave Journal, OT Journal, Actual Working Day, Payroll for Monthly Employees and Semi Monthly Employee, pay slips, make editions in Journal, coordinate Bank Transfers, Wing Transfers

Administration

  • Support Site Admin officer in day to day HR responsibilities
  • Prepare Monthly Reports
  • Documentation and filing of HR and related documents
  • Is responsible of the quality and accuracy of the data’s and information of the reports and files under his/her responsibility
  • Work closely with Finance Department
  • Is in contact with suppliers related to her/his function and activities

Assist in Policy implementation

  • Assist in policies translation
  • Assist HR Manager in implementation of policies and procedure at UNISUN
  • Work closely with other departments

Employee relations

  • Coordinate new joiners’ orientation and induct them about the general rules and regulations of the organization and Comp & Ben structures (including the maintenance of the check list for new joiners, finger print registration, etc…)
  • Serves as a key Employee Relations contact for the organization and facilitate all HR related queries/issues such as performance management, benefits questions, attendance, payroll, and other workplace concerns
  • Verify and Issue all announcements made to staffs internally

  • University degree in HR & Administration or related field
  • Proven successful working experience as HR Manager (5 years) and other HR Executive
  • Strong knowledge of hiring processes, Proven experience in recruitment sources strategies according to the position level of importance to the company’s operations in order to identify the right pool of talent through the right channel
  • Understanding of HR best practices and current regulations
  • Well-reasoned judgment and problem solving skills
  • Very good interpersonal and general communications skills, Creativity, Adaptability, Flexibility
  • Able to interact with a variety of people internally and externally and at all level
  • Fluent English (both spoken and written)
  • University degree in HR & Administration or related field
  • At least 10 years’ Experience in HR and Payroll Officer
  • Strong knowledge of Payroll process, Compensation and benefits fields, and current regulations
  • Analytical mind that can identify problem
  • Autonomy, Initiative, Problem-solving skills Organizational skill to handle and prioritize tasks
  • In-depth understanding of office management procedures and departmental policies
  • Great team player Proficient in MS office
  • English (both spoken and written)
