Operation Specialist

Main Duties and Responsibilities

  • Maintaining relationships with key CHB (Custom House Brokerages/ Clearance Service) providers to procure best value propositions for
    • Customs clearance for land/sea/air import and export shipments
    • Clearance Documents requirement e.g. Certificate of Origin, Import certificate, Import permit, etc
  • Providing high service response (trucking and clearance and/or other value-added services) to customers
  • Processing invoice creation after providing services by assuring the 100% accuracy of the item charges and its correspondent amounts
  • Working and Following up with service providers for supplier invoice and all the shipment documents to submit to customers as per agreed timelines
  • Managing customer requirement and expectation
  • Addressing customer complaints on a responsive and open-minded attitude
  • Working with the team to initiate and develop a range of services on top of the existing products- CHB and transportation
  • Can work overtime, follow up via phone outside working hours/ weekend/ holidays
  • Proactive and flexible in term of communication and following up
  • Developing necessary reports and working files to better manage daily task/operation
  • Supporting the commercial team in attracting and winning new businesses
  • Ensuring outstanding payment from customers and billing settlement goes in line with the service agreement
  • Delivering departmental Key Performance indicators
  • Carrying out ad-hoc tasks as assigned by the Leader or Manager

Bachelor's Degree

Minimum Career Level Required

Fresh Graduate / Entry level

Other Requirements

  • Bachelor degree in any discipline
  • 1 year of experiences in CHB/trucking and Cross border transportation, including requirement and physical shipment handling
  • Comprehensive English communication; the Chinese language is a plus
  • Good knowledge in customs tariff, documents processing, regulation, rules
  • Understanding the process flow, OCEAN, AIR, Inland haulage, loading, unloading
  • Good in KPIs managing and following up
  • The result-oriented person
  • Demonstrate a great personality and behaviour: decent level of patience, dynamic and self-directed; great sense of urgency and highly committed to service delivery
  • Good Interpersonal skill and Be customer (internal and external) oriented with strong follow up skills
  • Good computer literacy, especially Microsoft Excel
