Activities and Events Coordinator

Summary of Position

Our client is an international school in Cambodia. They are looking for an Activities and Events Coordinator who will be responsible in ensuring a smooth run of the school Curricular Activities (CCA) Program, Extracurricular Activities (ECA) Program, Summer, Winter Camps (SWCs) and other events. The full-time coordinator will collaborate in conceptualizing and planning activities and camps, create and facilitate administrative processes related to registration, vendors, facilities and instructor scheduling. He/she will be based in Phnom Penh.

Main Duties and Responsibilities

  • Conceptualize new student activities and camp themes, and establish connections with prospective external instructors
  • Organize the weekly and annual CCA, ECA and SWC schedule, allocate rooms/locations, ensuring alignment with the school calendar; make adjustments for missed/make-up activities as needed.
  • Contact external instructors for ECAs and the SWCs; collect their non-criminal records and arrange agreements for each instructor; process the external instructors' monthly payment invoices with the cashier’s team; update external instructors with the ECA, SWC and student lists, and provide any other necessary updates.
  • Collaborate with teachers who are required to teach CCAs; update teachers with the CCA and student lists, and provide any other necessary updates.
  • Administer the CCA, ECA and SWC registration processes, including by creating registration forms, setting prices per activity/camp and setting registration limits per activity.
  • Work closely with the cashier’s team regarding registration payments, credit notes and refunds.
  • Collaborate with the Office of Institutional Advancement to create advertising materials.
  • Support the CAS Coordinator, Head of Operations and the Head of School with school events as needed.
  • Liaise with the Operations Team to ensure the logistical needs of all activities are met (e.g. regarding transportation, resources, facilities).
  • Delegate tasks to TAs with the support of school administrators.
  • Send activity schedules to parents, and liaise with parents regarding individual queries as needed

  • Director of Athletics and Student Activities

Other Requirements

  • At least 2 years’ experience in a fast-paced administrative or events management role, ideally in an international environment.
  • Experience working directly with students and teachers is a strong asset.
  •  Experience using graphic design software or Canva to create marketing materials an asset.
  • Good ICT skills; working knowledge of the Google Suite, namely Google Sheets and Forms.
  • Proficient in written and spoken English with a strong communication and interpersonal skills.
  • Able to build and maintain relationships with multiple stakeholders, manage systems and schedules and work independently and as part of a team.
  • Brings flexibility, a positive mindset, attention to detail, and a solutions-focused attitude.
