Office and Admin Assistant

The Office and Admin Assistant will conduct Administrative and HR duties to support the Managing Director, and bring assistance to specific projects.

Personal Assistant

  • Maintains an updated MD agenda as well as scheduled appointments and office meetings; Shares MD Outlook agenda
  • Supervise travel preparation for MD and all team members
  • Maintains and follow-up an updated “To Do List” with all specific tasks required
  • Support the MD for internal communication
  • Work closely and effectively with the MD keeping him well informed of upcoming commitments and deadlines, with a high sense of confidentiality
  • Organize Management Committee meetings, Board meetings and other management related meetings; Capture minutes if required
  • Maintain an extensive filing system for MD’ correspondence, business matters, personal matters, and other related data
  • Solve all kind of tasks and issues for MD, performs other related duties as assigned.

 Project Management

  • Supervise specific tasks required by MD
  • Support event organization in coordination with other departments, including internal team events
  • Perform other related duties as assigned.

 Admin and HR

  • Maintain all documents confidentially
  • Control finger print system, email,  server system and office environment
  • Maintain all employee’s documents and attendance
  • Support the Admin task for other department includes preparing the company brochure, report, and all office supplies
  • Back up the company data and follow up all the documents from PO Box
  • Process the Client’s Compliance Registration
